Practical workflows for daily branch operations.
Workflow 1 - Register Customer for Daily Operations
Prerequisites
- Staff role access
- Customer KYC data available
Steps
- Open Customer Management.
- Click Add Customer.
- Enter required details including civil ID and mobile number.
- Upload civil ID front and back images when required by branch policy.
- Save and confirm profile creation.
Decision Points
- If customer is already registered, use existing profile instead of creating new.
Notes and Warnings
- Never reuse civil ID values. Post-create civil ID change is Head-only.
Workflow 2 - Create New Purchase Transaction
Prerequisites
- Customer is active
- Gold item details are verified
Steps
- Open Transaction screen and select Create Purchase.
- Select customer and verify transaction date.
- Add gold items one by one with full details and image.
- Enter purchase amount and verify allocation totals.
- Save transaction.
Decision Points
- If customer is blocked, stop and inform branch manager.
Notes and Warnings
- After saving, staff cannot edit transaction details.
Workflow 3 - Collect and Post Payment
Prerequisites
- Transaction is ACTIVE (not CLOSED or AUCTION)
- Customer payment details are available
Steps
- Open Payment screen.
- Find the transaction using search, transaction number, or customer lookup (cross-branch active lookups are supported for collection where the app allows).
- Enter payment amount, mode, and effective payment date (must not be in the future or before interest accrual start).
- Enter a reference number—use a unique receipt or reference per loan (required; duplicates on the same transaction are rejected).
- Review allocation preview if shown (interest first, then principal). Remember: previews are indicative; the posted payment uses the system’s calculated interest.
- If a discount applies, enter the amount and a mandatory reason.
- Submit and print or download the payment invoice.
Decision Points
- If you are in a non-owning branch and the payment would fully close the loan, stop and send the customer to the owning branch to post the final payment (you can still collect partial payments elsewhere when allowed).
- If the customer pays more than total due, the excess may be recorded as a customer advance—confirm the receipt matches what the customer expects.
Notes and Warnings
- Payment cannot be deleted after posting.
- AUCTION loans do not accept payments through this path.
Workflow 4 - Process Gold Item Release
Prerequisites
- Release is requested by customer
- Outstanding principal supports release value
Steps
- Open Gold Release screen.
- Select transaction and item to release.
- Confirm current gold price and item valuation using: value = net weight x (purity / 100) x daily gold rate.
- Verify released gold value does not exceed outstanding principal.
- Submit release and issue invoice.
Decision Points
- If system blocks release because released value exceeds outstanding principal, collect payment first.
Notes and Warnings
- Release affects remaining principal and future risk profile.
Workflow 5 - Daily Risk and Gold Price Follow-up
Prerequisites
- Branch operating day has started
Steps
- Open Gold Price screen and confirm current rate is entered.
- Open Risk Monitoring and review flagged transactions.
- Mark high-risk cases for manager follow-up.
- Use the Notifications panel (and Search if you need to jump to a customer or transaction quickly) to track related updates.
Decision Points
- If gold price is missing for the day, update it before valuation-sensitive tasks.
